Position is responsible for supporting the Show Department project schedules, interacting with customers via phone and email, addressing attendee and exhibitor inquiries, researching companies for Show eligibility, assisting with the overall coordination of SEMA-sponsored events and for providing a high quality of general administrative and tactical support to the Show Department.
Provide customer support by screening, researching and providing a timely response to incoming calls and emails from Show attendees and exhibitors, consumers, and members as the contributing member of a targeted events-specific customer service task force. Assist Registration Director with scheduling, travel needs, correspondence, expense reports, proof reading, filing and other administrative duties, as necessary. Support Registration Director in the process of qualifying companies for eligibility to attend trade shows and events. Research non-exhibiting manufacturers, buyers, exhibitors, and spouses to ensure they are classified and qualified correctly. Log all research and findings into association management database. Maintain all in-house Guest & VIP badge/registrations. Update and send internal memo, ensuring unique password codes match file of codes received from the registration vendor. Print and distribute badges to in house staff; handle last-minute requests and inquiries, as appropriate. Work with the registration vendor to order inhouse printers, stock, holders; set up and trouble shoot any printing problems. Oversee all large-group registrations for OEM exhibitors, sales staff, sponsors and special groups. Update Excel spreadsheets; respond to all related calls and emails; send spreadsheets and follow up all inquiries and forward and track spreadsheets sent to registration vendor for processing. Ensure numerous changes/additions communicated by key contacts are handled in timely manner. Assist the Registration Director with all aspects of online registration for the Exhibitor Summit: pre-, post-event and onsite. Assist department coworkers by providing administrative and tactical support for projects pertaining to the general activities of the Show Department and the production of trade shows. Support Registration Director with general duties pre-show, during show, and post-show as necessary. Run weekly reports; update and produce all registration forms (printed and electronic); inventory, pack and prep boxes/supplies for onsite registration areas. Help with registration set up activities on show site for both the SEMA Show and Exhibitor Summit. Write and maintain SOP documents for tasks and procedures pertaining to job duties to be included in a comprehensive Show Department SOP file. Attend SEMA Show and SEMA Show Exhibitor Summit to support Show Department and Registration Director as necessary. When directed by management, perform other assignments and duties as required.
Reports to the Registration Director. Interfaces with Show department stakeholders, support staff personnel and other divisions and Directors as needed. Communicates regularly with Association members, vendors, exhibitors, potential exhibitors, buyers and potential buyers.
Effective oral and written communication, organizational, managerial and typing skills. Must be detailed oriented. Able to work in busy, deadline-oriented environment; multi-task and be comfortable with handling heavy incoming phone and email volume. An associate or college degree or an equivalent number of years’ experience (3-5 years) in the trade show industry, performing similar duties with the stated necessary appropriate skills or proficiencies. Knowledge of computer systems and software, including netFORUM, Basecamp, Expocad, Great Plains, Microsoft Word, Excel, PowerPoint, and Access. Knowledge of office equipment, including telephone, computers, typewriter, copy machines, laser printers and fax machines. Ability to attend SEMA-sponsored shows and events as well as other industry events as necessary. Ability to access all areas of the office.
